Board Positions

Job Description: The Assistant Treasurer supports the Treasurer and learns the ropes to potentially become Treasurer in the future.
SECRETARY (Lesley Farrell)
Job Description: The PTO Secretary attends all PTO meetings and records the votes and minutes of the meeting. Minutes are then typed up and emailed before the following board meeting for approval. Minutes should be formatted properly to be published on the VFMS PTO website, and kept in a binder with a copy of all minutes. The Secretary also keeps and maintains a copy of the bylaws.
VP COMMUNICATIONS (Open)
Job Description: Oversee the PTO communications, including newsletters, directory, website and social media accounts.
VP FUNDRAISING (Emily Carteen and Amy Saylor)
Job Description: Primary focus is on creating and coordinating fundraising opportunities, such as locker shelves sales, spirit wear, community fundraisers, direct donation drives, etc. Additionally, this person is responsible for making sure all events are effectively communicated to the school community.
VP VOLUNTEERS (Amy Saylor)
Job Description: Work with coordinators to oversee events and volunteers. Help to recruit new volunteers. Oversee the creation of sign up sheets. Additionally this person is responsible for making sure all the events are properly announced and communicated to the school community.

VP CULTURAL ARTS (Alora Chirchick and Sandi Mahar)
Job Description: One of the most rewarding volunteer positions at school! The VP of Cultural Arts is shared between two volunteers who are responsible for coordinating the PTO-funded, school-wide and grade-level cultural arts assemblies. You will work with VFMS teachers and principal, local artists, authors, performers, etc. to curate and schedule assemblies throughout the school year. This includes serving as a member of DELTA, a group of PTO Cultural Arts reps from many of our area’s schools, to share ideas and resources.
The co-VPs will spend about 5 hours of volunteer time each month, with some months being busier than others. The time involved is divided between assemblies at school, planning at home, a monthly Tuesday morning DELTA meeting, and planning DELTA’s twice-yearly evening community performance (fall and spring).

Job Description: Oversee school recycling program. Work with school to help or initiate environmental initiatives at the school.
Communications Committees
DIRECTORY COORDINATOR (Stephanie Crill)
Job Description: The PTO Directory Coordinator is in charge of setting up and managing the online VFMS family directory through the Membership Toolkit website system. This involves annual configuration, reviewing and adjusting the information available to parents, sending out emails and reminders for parents to sign up and confirm information and preferences, possibly securing advertising, and sending out emails to the VFMS community. While no special skills are required, the Directory Coordinator should be comfortable with technology / online website systems.
EMAIL BLAST EDITOR (Rachel Kramer)
Job Description: The Blast Editor collects submissions throughout the week and then compiles them into the e-newsletter for distribution on Sunday. Through the Membership Toolkit program (easy to learn-guidance provided), the editor organizes the information that was sent over the course of the week, adds links, any pictures (optional), and decides if the submissions need to be tweaked. This job requires about 1 hour each week, and contact with the VFMS PTO President for approval before distribution to the school community. This job provides a low-commitment opportunity to be involved in the school, and to stay on top of school happenings.
WEBSITE EDITOR (Open)
Job Description: The website editor oversees the PTO website. This involves posting working in a WordPress Content Management System to create new posts, forms, pages, sign up sheet and more. A large part of the work happens when it needs to be updated from one school year to another. Throughout the year, there are on average new 1-3 posts per month.
FACEBOOK COORDINATOR (Stephanie Howard)
Job Description: This position involves promoting PTO events on the main PTO Facebook group and overseeing the group. It also involves overseeing the grade-level Facebook groups and seeing that appropriate things are posted to them. Work averages about 1-2 hours per month.
Volunteers/Events Committees
HEALTH & VISION SCREENING VOLUNTEER COORDINATOR (Amanda Miller)
Job Description: Coordinate with the school nurse about times during a two-day period at the start of September and coordinate volunteers for those times.
LOST & FOUND COORDINATOR (Shirley Osborne)
Job Description: Organize and display the school lost and found before parent conferences and the end of the year.
WELLNESS WEEK COORDINATORS (Open)
Job Description: Coordinate with school for spring week, which would include daily presentations to students in grades 5/6 in different wellness subjects. Those could include, but are not limited to yoga, nutrition, martial arts or other areas that parent volunteers or other volunteers from the community could present to students.
5TH GRADE MATH NIGHT COORDINATORS (Open)
Job Description: Coordinate with school and high school to organize a math night in the late winter/early spring for math activities for 5th graders.
TEACHER APPRECIATION LUNCHEONS COORDINATORS (Josie Masella)
Job Description: Organize two luncheons for the teachers and school staff. The first one is before the winter break and the other is at the end of school.
TEACHER APPRECIATION WEEK COORDINATORS (Open)
Job Description: Oversee and coordinate with committee a week’s worth of activities to show appreciation for our teachers. Past daily events have included events like a breakfast and handing out pizzas to each teacher/staff.
8TH GRADE GRADUATION COORDINATORS (Open)
Job Description: Coordinate with office to see what support is needed for the graduation. Past help has included getting flowers to decorate the stage and buying and handing out cake to guests. All work is in the spring, at the end of school. This position is best filled by a parent who does not have an eighth grader, because you want to be able to enjoy the ceremony with your child.
HALLOWEEN COSTUME CONTEST COORDINATORS (Open)
Job Description: Coordinate with the school and parent volunteers to come in to the school on Halloween and judge a costume contest. This position is a one-time event, requiring flexible work from home before the event and then in school time on Halloween.
HOLIDAY GIFT CARD COORDINATOR (Open)
Job Description: Coordinate with the Treasurer, Website Editor, Blast Editor and Facebook Coordinator to promote the collection of funds from parents who would like to give something to teachers and staff in the winter, but would rather give to a bigger fund to be divided among teachers and staff for a bigger gift card than to do try to cover all their student’s teachers on their own. This position is a one-time responsibility that can be done on a flexible schedule and happens in December before the winter break.
CHAPERONE COORDINATOR (Open)
Job Description: Coordinate with school for any event needing chaperones, such as 7/8 grade dances. Create sign up sheets for volunteers and work with Website Editor, Blast Editor and Facebook Coordinator to promote sign ups.
Fundraising Committees
SPIRIT WEAR SALES COORDINATOR (Emily Carteen)
Job Description: Work with vendor(s) to come up with items for 2-3 sales throughout the school year. Organize and follow through on sales.
RESTAURANT/EVENT COORDINATOR (Open)
Job Description: Work with local businesses, mostly restaurants, to set up one-time events for people to come out to the business and for the PTO to make some money.
Social Events Committees
NEW FAMILY & 8th GRADE PARENT BREAKFAST COORDINATOR (Open)
Job Description: Organize two breakfasts for the PTO. The New Family Breakfast is in August a couple weeks before the start of school and the 8th Grade Parent breakfast is in January.
PARENT SOCIAL COORDINATORS (Open)
Job Description: Organize events for middle school parents (not students) to meet each other, either for pure socialization or to for a learning experience, such as a talk from an expert on kids and media.
BACK TO SCHOOL FAMILY SOCIAL COORDINATORS (Joann Mayo)
Job Description: Organize an event, such as an ice cream social, food truck get together or just a picnic for parents and students to see each other again as students return to school.
Community Representatives
DENTAL CLINIC REPRESENTATIVE (Lauren Lentz)
Job Description: This position involves going to board meetings every other month, and when necessary, driving students to dental appointment. Clearances are needed for this position.
T&E CARE REPRESENTATIVES (Amanda Miller & Kim Jamme)
Job Description: This position involves working with T&E Care and the PTO on joint campaigns.
PARENTS’ NETWORK REPRESENTATIVE (Open)

INTERSCHOOL COUNCIL REPRESENTATIVES (Anne Woodcock)
Job Description: The InterSchool Council consists of representatives from each school along with TESD administrators and School Board members. The council meets 6 times per year on Wednesday nights from 7-8:30pm. Topics are current. Discussion is open. Representatives take relevant information back to their respective PTOs.
TEMPO REPRESENTATIVE (Open)
Job Description: Be the PTO’s representative in the Tredyffrin Easttown Music Parent Organization, or TEMPO.
ARCH REPRESENTATIVE (Open)
Job Description: Be the PTO’s representative to Area Residents Caring and Helping, or ARCH, which is a coalition of parents, educators, and community members committed to promoting the well-being of youth in Tredyffrin and Easttown townships. ARCH serves as a resource to families as they help their children form a positive self-image, make healthy choices, and reduce the use of alcohol, tobacco, and other drugs.
BUILD REPRESENTATIVE (Open)
Job Description: Be the PTO’s representative to BUILD T/E, which educates, supports, provides resources and mentors parents and caregivers as they advocate for their child’s needs.
SCHOOL BOARD REPRESENTATIVE (Brittany Ortiz)
Job Description: Go to School Board meetings and report back to the PTO.

GOLDEN APPLE GRANT COORDINATOR (Anjali Gupta)
